Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools Perform data entry, filing, and maintain accurate records to support office operations Assist with basic bookkeeping tasks using QuickBooks or similar accounting software Support office management tasks such as supply inventory, mail distribution, and maintaining a tidy reception area Provide exceptional customer service by addressing inquiries professionally and courteously Proofread documents for accuracy and clarity before distribution or filing Support administrative functions including typing correspondence, managing emails, and supporting personal assistant duties as needed Requirements Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent phone etiquette with experience handling multi-line phone systems and customer support calls Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience with data entry, filing systems, proofreading, and administrative support tasks Knowledge of medical or dental receptionist duties is a plus but not required Personal assistant or medical receptionist experience is advantageous for handling calendar management and client interactions Familiarity with bookkeeping software such as QuickBooks is preferred but not mandatory Join us in creating a professional environment where your organizational talents shine!
