Job Description

Overview Join our dynamic team as a Front Desk Receptionist and be the welcoming face of our organization! This energetic role is vital in creating a positive first impression for visitors, clients, and staff alike. You will manage front desk operations with enthusiasm, ensuring smooth communication, efficient office management, and exceptional customer service. Your organizational skills and proactive attitude will help foster a professional and friendly environment where everyone feels valued and supported. Responsibilities Greet visitors and clients warmly, providing excellent customer support and ensuring they feel welcomed. Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette. Handle appointment scheduling, calendar management, and coordinate meetings for staff and executives. Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools. Assist with clerical duties such as proofreading documents, managing correspondence, and supporting office operations. Support bookkeeping tasks using QuickBooks or similar accounting software to track invoices and expenses. Maintain a tidy reception area, manage inventory of office supplies, and ensure the overall organization of the front desk environment. Requirements Proven experience in office management, clerical support, or as a receptionist in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask effectively while managing time efficiently. Bilingual abilities are highly preferred to serve diverse client needs effectively. Previous experience with multi-line phone systems, appointment scheduling software, or medical/dental receptionist roles is advantageous. Demonstrated customer service skills with professional phone etiquette and interpersonal communication. Ability to handle confidential information discreetly with high attention to detail for proofreading and data accuracy.
