Position Summary The Receptionist serves as the first point of contact for all customers, vendors, and visitors entering the dispensary or contacting the business. This role is responsible for delivering exceptional customer service, managing front-of-house operations, maintaining facility cleanliness and organization, and ensuring accurate communication across departments. The Receptionist plays a critical role in supporting compliance, efficiency, and a positive customer experience.
JOB RESPONSIBILITIES
The following tasks are not a complete itemization of your job duties, but a guideline to scheduling your workload. Customer Service & Front Desk Operations Greet customers, registered cardholders, caregivers, vendors, and visitors in a friendly, professional manner upon entry Verify and check in customers according to company SOPs and applicable state regulations Manage customer traffic flow in the lobby to minimize wait times and maintain an orderly environment Answer incoming phone calls promptly, providing accurate information or routing calls to the appropriate department or manager Monitor and respond to incoming emails; forward inquiries to the correct individual or department in a timely manner Address customer questions, feedback, or concerns in person, by phone, or via email, escalating to management when necessary Communication & Coordination Communicate effectively with team members and management via Slack and other internal communication tools Notify appropriate departments or managers of vendor arrivals, deliveries, or service appointments Act as a liaison between customers, retail staff, inventory, compliance, and management as needed Facility Cleanliness & Organization Maintain cleanliness and organization of the lobby, reception area, and other assigned areas throughout the shift Perform light cleaning and restocking duties according to the Daily Checklist Ensure forms, signage, and customer-facing materials are current, organized, and accessible Administrative Duties & Recordkeeping Accurately complete and maintain logs, forms, and checklists used throughout the shift Support compliance-related documentation and front desk procedures Assist with basic data entry and recordkeeping as assigned Cannabis Knowledge & Compliance Maintain a working knowledge of dispensary products, services, and basic cannabis education to appropriately assist or direct customers Stay informed of applicable state and local cannabis regulations relevant to front-of-house operations Follow all company SOPs, security procedures, and compliance requirements This is not a complete list or itemization of all expected responsibilities thus additional duties may be requested or assigned, as necessary.
SKILLS & QUALIFICATIONS
Strong customer service and interpersonal communication skills Excellent organizational skills and attention to detail Ability to accurately perform data entry and maintain records Proficiency in Windows-based software, email platforms, and internet navigation Experience with POS systems and/or ADP preferred Ability to communicate clearly and professionally via phone, email, and internal messaging platforms (e.g., Slack) Ability to work in a fast-paced, regulated environment while maintaining professionalism Sound judgment with the ability to escalate issues appropriately Ability to pass a criminal background check as required by state law. Reliable transportation and availability to work weekends, holidays, and evenings as necessary. Ability to stand for extended periods. Ability to lift and move up to 25 pounds. Education and Experience High school diploma or equivalent; further education or certifications in cannabis, retail management, or related fields are a plus.
