In this vital role, you will serve as the backbone of our sales operations, providing exceptional administrative and customer service support to ensure smooth and efficient sales processes. Your proactive approach and attention to detail will help drive customer satisfaction, streamline office functions, and support our sales team in achieving their goals. Responsibilities Assist the sales team with order processing, data entry, and tracking customer information using tools like Microsoft Office and Google Workspace. Manage incoming inquiries via multi-line phone systems, providing prompt and courteous customer support. Maintain accurate records through filing, proofreading documents, and updating databases such as QuickBooks for billing and bookkeeping tasks. Support office management duties including calendar management, appointment scheduling, and front desk responsibilities. Handle clerical tasks such as filing, photocopying, and organizing documents to ensure efficient office operations. Provide bilingual support to serve diverse customer needs effectively. Uphold professional phone etiquette and deliver excellent customer service during all interactions. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Strong organizational skills with the ability to multitask efficiently in a busy office environment. Excellent communication skills, including phone etiquette and customer support experience. Familiarity with office management tools such as multi-line phone systems and calendar management software. Experience with clerical tasks like data entry, filing, proofreading, and document management. Knowledge of QuickBooks for bookkeeping or invoicing is a plus. Bilingual abilities are highly desirable to enhance communication with diverse clients. Previous office experience in administrative or receptionist roles, including dental or medical receptionist duties preferred. Strong computer literacy combined with excellent time management skills to prioritize tasks effectively.
