Thrive Wellness of Reno Job Description Front Desk Associate The Front Desk Associate at Thrive Wellness is a vital part of our team, responsible for ensuring a welcoming and efficient environment for our clients. This role involves managing front desk operations, including client reception, appointment scheduling, insurance verification, and general administrative support. The ideal candidate will be friendly, detail-oriented, organized, and committed to providing exceptional customer service. Working Conditions This position operates in a wellness center environment with frequent interaction with clients and staff. Hours may vary based on office needs, including potential evening or weekend shifts. Working hours (subject to Change): Monday - Friday, 9am-6pm with an hour lunch break.

Associate's or bachelor's degree preferred. Bilingual speaking is preferred. Medical office experience preferred. Minimum of one (1) year related work experience. CPT and ICD coding experience is preferred. Analytical skills to check for any billing errors. Exceptionally detail-oriented with good organizational skills. Proficient in working with various electronic medical records (EMR). Good understanding of medical/mental health benefits coverage, including deductibles and out-of-pocket maximums. Working knowledge of medical/mental health terminology. Strong computer skills (i.e., Google Suite Applications) and familiarity with insurance web portals. Demonstrates competency and sensitivity in multicultural, racial, religious/spiritual, gender, gender identity, gender expression, and sexual orientation issues. Requirements:
Must pass a federal background check at hire and every three years. Must adhere to the drug-free workplace act. Demonstrate maturity of judgment, attitude, and life skills. Ability to adapt to change and remain flexible. Strong team player that works well in a busy environment. Strong communication skills, upbeat, positive, and professional when interacting with clients, providers, and fellow co-workers. Excellent interpersonal, verbal, and written communication skills, as well as the ability to prioritize and manage time effectively, both unsupervised and independently. Duties:
Client Reception:
Greet clients warmly, complete check-in and check-out in EMR, ensure required forms are verified at each visit, and maintain a welcoming and professional environment. Appointment Scheduling:
Schedule, confirm, and reschedule appointments via phone, in person, or online. Support provider calendar management, including intake screenings for higher-level-of-care (HLOC) clients. Maintain and manage cancellation and waitlists for assigned departments. EMR Eligibility & Benefit Verification:
Review eligibility results daily, identify missing or incorrect insurance information, and notify clients of required updates before their appointment. Confirm PCP designation for HMO plans and ensure referrals are on file when required. Ensure pre-authorizations are obtained for scheduled appointments and have an understanding of outpatient service prior authorization tracking. Client Records Management:
Collect and update client demographics, verify all forms in EMR during check-in and check-out, and ensure paperwork and consent forms are accurate and complete. Financial Responsibilities:
Process payments and provide receipts. Set up and manage payment plans in EMR for outstanding balances, unmet deductibles, and upcoming out-of-pocket maximum obligations (MOOPs). Explain financial responsibility policies, including late-cancel and no-show expectations. Client Communication:
Answer phones, respond to emails, and communicate changes or delays with courtesy and professionalism. Provide clear, accurate information to clients and escalate concerns when appropriate. Clinical Inbox Support:
Assist with EMR clinical inbox management for assigned departments (routing, flagging, and ensuring timely follow-up for assigned departments). Office & Waiting Room Management:
Maintain a clean, organized, and welcoming waiting area and ensure all clinical and administrative supplies are stocked. Administrative Support:
Perform filing, faxing, scanning, and data entry tasks as needed. Professionalism & Team Collaboration:
Demonstrate consistent professionalism, kindness, and respect in all interactions with clients, providers, and coworkers.
