In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your positive attitude and efficient administrative skills will ensure smooth daily operations, creating a professional and friendly environment for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your office management expertise while supporting a dynamic team. Responsibilities Greet visitors promptly and professionally, ensuring a warm first impression. Manage multi-line phone systems, screen calls, and direct inquiries efficiently. Maintain the front desk area, ensuring it remains tidy and welcoming at all times. Handle data entry, filing, and document proofreading to support administrative processes. Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools. Assist with office management tasks such as supply ordering, mail distribution, and basic bookkeeping using QuickBooks or similar software. Provide customer support by responding to inquiries via phone or email with excellent phone etiquette and professionalism. Skills Proven experience in office management or as a receptionist with clerical responsibilities. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are highly desirable to assist diverse clientele. Familiarity with multi-line phone systems, data entry, filing, and proofreading. Knowledge of medical or dental receptionist duties is a plus but not required. Exceptional customer service skills combined with professional phone etiquette and time management capabilities. Previous experience with bookkeeping or personal assistant tasks is advantageous.
