Job Description
Job Summary We are seeking a dynamic and professional Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our team. Duties Greet visitors warmly and direct them appropriately, ensuring a friendly and professional atmosphere Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Maintain front desk operations by handling incoming correspondence, scheduling appointments, and managing visitor logs Perform data entry tasks using Microsoft Office, Google Workspace, and other office management tools with accuracy and attention to detail Organize files, documents, and records through effective filing systems while ensuring confidentiality Support office management activities such as calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including proofreading documents, preparing reports, and managing office supplies Skills Proven experience in office administration or reception roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Strong customer service skills with a friendly demeanor and the ability to handle inquiries efficiently Experience with data entry, filing systems, and document proofreading to ensure accuracy Knowledge of office management procedures including calendar management, time management, and basic bookkeeping (e.g., QuickBooks) Ability to prioritize tasks effectively in a fast-paced environment while maintaining professionalism Join us as a Receptionist where your organizational talent and friendly approach will make a meaningful impact every day!
