Job Description

Overview We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This energetic role is vital in creating a welcoming environment for visitors and ensuring the smooth operation of daily office activities. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will handle front desk responsibilities, manage administrative tasks, and support office management functions to keep everything running efficiently. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, providing exceptional customer service at the front desk. Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette. Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records. Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management. Assist with calendar management and appointment scheduling for staff or medical/dental professionals as needed. Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining cleanliness of common areas. Handle clerical duties including photocopying, faxing, mail distribution, and maintaining organized filing systems. Provide administrative support to team members or personal assistants by managing schedules or preparing reports. Maintain a professional appearance at the front desk while demonstrating excellent phone etiquette and customer support skills. Support various departments with administrative tasks that enhance overall office efficiency. Experience Prior office experience or administrative background is required; experience in medical or dental reception is a plus. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent communication skills in both English and bilingual capabilities are highly desirable to serve diverse clients and visitors. Experience with multi-line phone systems, clerical duties, filing systems, proofreading documents, and customer service roles is essential. Knowledge of bookkeeping software such as QuickBooks or basic office management practices will be advantageous. Ability to manage time efficiently while handling multiple priorities with professionalism and attention to detail.
