Duties Greet visitors, clients, and staff warmly, ensuring a positive first impression of the organization Manage multi-line phone systems, screen calls, and direct inquiries efficiently using professional phone etiquette Handle front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings Perform data entry, filing, and document proofreading to support administrative workflows Utilize office management software such as Microsoft Office, Google, Curve Dental system Enter payments from both patients and insurance. Maintain organized records of correspondence, appointments, and office supplies while ensuring confidentiality Skills Proven experience in office management or administrative support roles with strong clerical skills such as copying, scanning. and document creation. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls professionally Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience with data entry, filing systems, proofreading documents, managing emails, voicemails, texts and calendar management Exceptional customer service skills with a friendly demeanor and professional communication style Dental charting and treatment planning Manage patient scheduling and direct patient traffic flow Multi-tasking skills a must Ability to problem solve a must Coordinate with dental insurance companies to ensure claims are paid Translate dental services to the proper codes to bill patient approrpiately Effectively responding to patient and doctor needs and inquiries Organize and present financial arrangements and payment schedules with patients Run and analyze management reports Oversee collections and accounts receivable Manage specialist referral process This role is perfect for someone eager to contribute to a vibrant team environment while honing their administrative expertise.
