VSCLI is a Specialty Referral Practice and a 24-Hour Emergency Care Hospital in Huntington, NY. Our brand-new 10,000 square-foot state-of-the-art hospital opened its doors in April 2024. We are seeking a Receptionist who can work several part-time shifts. The ideal candidate must be professional, compassionate, dedicated, enthusiastic, conscientious, positive, motivated, and communicates well with colleagues, staff, and clients. In addition, since our Receptionist will be taking payments from our clients, handling credit cards, debit cards, cash, and personal information, it is critical that this individual be both honest and trustworthy. VSCLI is seeking a Veterinary Receptionist who will greet our clients warmly and make them feel welcomed and comfortable. Duties & Responsibilities Greeting clients and patients in a friendly, kind, and respectful manner Answering phone calls in a friendly, kind, and respectful manner. Also, directing clients to appropriate departments as well as giving approved advice and options for issues and problems. Scheduling
  • Making client appointments as well as confirming appointments. This includes making sure the appointments flow easily and the doctor as well as staff will have enough down time for lunch and or breaks as scheduled. Cleaning in Reception
  • must keep the lobby and reception area clean for clients Taking messages for doctors and staff Computer data entry of patients and referral records Record updating Processing incoming patients Processing invoices and payments Recognize and meet client needs.
Make pets feel welcomed. Recognize severe/serious cases in need of immediate attention. Keep animals isolated from others when necessary. Perform opening procedures such as turning computers on, retrieving messages, returning phone calls, knowing appointments and surgery schedules. Making sure Telephone numbers, addresses, and contacts are accurate in our systems. Preparing patient charts for technicians and doctors. Keeping all lab work tests and make information that is needed for appointments available to the Doctors so that they can relay the information to our clients. Keeping desk and reception area neat and organized, making sure all forms, paper work files, available for the Doctors, veterinary technicians and veterinary assistants as needed. Collecting fees for services, print out sales slips/receipts, and discharging patients. Doing daily receipts and collections reconciliations daily. Handling referral letters and mailing to client's regular veterinarian Position Knowledge & Skill Requirements Reports to Office manager, Hospital administer, and veterinarians. Basic typing skills, thoroughness and neatness. Scheduling appointments for multiple specialty departments Answer phone calls, which may involve answering questions Handle incoming and outgoing mail and email. Update and file patient charts. Enter data into a computerized program. Process credit card payments Position Qualifications High School Diploma (or equivalent) or above 2 years of experience Excellent customer service and communication skills. Excellent phone etiquette and skills, including transfers, paging, putting calls on hold, directing calls to voicemails and taking messages down. Computer skills. Demonstrate excellent interaction skills with clients and animals in the reception area. Ability to work in a team-oriented environment and to take/execute directions.
