Job Description

Position Description Step into an instrumental role and help ensure the smooth operation of a fast paced and friendly financial planning office. This position supports an independent advisor franchisee with a financial advisory practice of Ameriprise Financial. You will assist the financial advisor and associate financial advisors in managing and organizing office workflow and daily business operations. The role also includes serving as the first point of contact for clients and visitors. Responsibilities include greeting clients in a warm and welcoming manner, answering incoming phone calls with professionalism and clarity, directing inquiries to the appropriate team members, and ensuring that the reception area is maintained in an organized and hospitable way. This includes preparing meeting rooms for client appointments, offering refreshments when appropriate, and supporting a client experience that reflects the high standards of the practice. Responsibilities and Time Allocation Responsibilities will evolve over time to meet the needs of the practice and may include additional duties as assigned by the advisor. Position Functions Responsibilities Maintain practice financials and manage office expenses within an established budget Order supplies and other office related items Manage equipment and facilities including maintenance and cleaning service contracts Review work methods and procedures for potential quality improvements and efficiencies and implement changes as appropriate Client Care Responsibilities Call clients to schedule meetings or appointments Set up and maintain the client management system Maintain files and records in accordance with retention policies Draft administrative notes or letters to clients on personal letterhead and assist with client appreciation efforts Review and respond to client emails as necessary Key Traits Strong attention to detail and organization Effective communication with clients and internal staff Strong time management skills Polite and clear phone manner Ability to manage multiple tasks simultaneously Ability to follow rules and regulations as outlined by the advisor and Ameriprise Financial Ability to support and guide compliance activities within the practice Positive attitude and a sincere willingness to learn and grow Education and Experience Experience managing a small office environment
