Job Description

Join our dynamic team as a Receptionist, where you'll be the welcoming face and organizational hub of our office. This energetic role is vital in creating a positive first impression for visitors and ensuring smooth daily operations. Your multitasking skills, friendly demeanor, and attention to detail will help foster an efficient, professional environment that supports our team and clients alike. Whether managing front desk duties or coordinating administrative tasks, you'll play a key role in maintaining the seamless flow of our office activities. Greet visitors, clients, and vendors warmly while managing the front desk with enthusiasm and professionalism Operate multi-line phone systems to answer inquiries, direct calls, and provide excellent customer support Manage appointment scheduling and calendar coordination for staff and executives Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain office supplies inventory, order necessary materials, and oversee general office management tasks Support administrative functions such as photocopying, faxing, and preparing correspondence using Microsoft Office and Google Workspace tools Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Proven office management or clerical experience with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent phone etiquette with experience handling multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Strong typing skills coupled with attention to detail for proofreading and data entry tasks Customer service orientation with a friendly, professional demeanor Previous experience as a medical or dental receptionist or personal assistant is a plus Knowledge of office procedures such as filing, calendar management, and time management techniques Join us in creating a welcoming environment where professionalism meets energetic support!
