Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist and Administrative Assistant to join PALS (Pediatric Assessment Learning and Support). This vital role combines front desk responsibilities with administrative support to ensure smooth daily operations and a warm, professional experience for patients, families, and visitors. The ideal candidate will be a proactive communicator, highly organized, and comfortable managing multiple tasks in a fast-paced pediatric setting. This part-time paid position offers an exciting opportunity to contribute to a compassionate, strength-based practice where your organizational skills, professionalism, and positive attitude will make a meaningful difference. Expansion to full-time may be offered depending on range of skills. Duties
  • Greet visitors, patients, families, and vendors warmly, creating a welcoming and professional front desk experience.
  • Manage incoming phone calls, emails, and general inquiries promptly and courteously, using strong communication and customer service skills.
  • Schedule and update appointments, meetings, and room bookings while helping maintain organized daily office flow.
  • Maintain a tidy and organized reception area, ensuring materials, supplies, and shared spaces are presentable and functional.
  • Receive, sort, and distribute daily mail, packages, and deliveries accurately and efficiently.
  • Provide basic information about PALS services and office procedures to visitors and callers in a clear and supportive manner.
  • Monitor and appropriately engage with children in the waiting area to help maintain a safe, calm, and welcoming environment.
  • Support office operations through filing, photocopying, data entry, document organization, and other clerical and administrative tasks as needed.
  • Help maintain office security and smooth administrative operations by monitoring access and assisting staff with day-to-day support functions. Qualifications
  • High school diploma or equivalent required; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist, front desk coordinator, or in a similar administrative or clerical role.
  • Excellent verbal and written communication skills, with a professional, friendly, and approachable demeanor.
  • Strong organizational and multitasking abilities, with the ability to prioritize responsibilities effectively in a busy office environment.
  • Proficiency in office software, including Microsoft Office and Google Workspace, especially email, calendar scheduling, and document management tools.
  • Strong attention to detail and accuracy in filing, data entry, and general administrative support.
  • Ability to remain calm, professional, and responsive when handling stressful situations or unexpected office needs.
Join PALS to be part of a compassionate and collaborative team where your front desk expertise, organizational talents, and customer service skills will make a real difference for children and families. This part-time role is based in an office environment in Flatiron, with a regular schedule of Monday through Friday from 8:45 am to 2:00 pm, and occasional additional hours available with advance notice. You will work closely with clients, staff, and vendors each day while supporting a professional workplace dedicated to care, excellence, and individualized support.

$22.00 - $28.00 per hour
