  • Full-time, Contract The European Union Delegation to the United Nations, New York is looking for: Office Support Agent/Receptionist We are The European Union (EU) is an economic and political partnership between 27 European countries.
It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy. As a UN observer with enhanced status, the EU coordinates the 27 EU Member States so as to speak with one voice. The EU also works closely with the UN Secretariat and its Agencies, funds & programs, partnering on a range of global issues and challenges. We offer We are looking for an enthusiastic and service-minded candidate to fill the post of Office Support Agent / Receptionist (Local Agent Group IV) in the Delegation's Administration Section/Reception. The team consists of 13 people. It is a 2-year contract, with the possibility of two renewals, leading to a maximum employment term of 7 years under successive fixed-term contracts. Indefinite contract may be offered upon completing the seven-year term. Under the direct supervision of the Head of Administration and Head of Delegation, the local agent will be in charge of the following tasks, but not limited to:
  • Manning EEAS Reception Desk and answering all phone calls;
  • Assisting with all issues in regard to the coordination of the meeting rooms;
  • Preparation of drinks, setting up lunches and receptions;
  • Internship coordinator's back-up;
  • Manage the Driver's calendar together with the HoD secretariat;
  • Manage All drivers files (Hours, calendar,…)
  • Main point of contact with drivers;
  • General secretarial duties, mainly concerning administrative issues;
  • Greeting visitors;
  • Updating daily and weekly lists of visitors to the Delegation (incl. statistic of visitors); Keep track of daily, upcoming and annual visitors;
  • Assisting with hotel reservations for Brussels-based Officials and visitors;
  • Obtaining offers from hotels and booking of hotel rooms for delegates;
  • Occasional assistance at hotels for VIPs;
  • Applying for UN Passes for Brussels-based Officials and visitors;
  • Regularizing all private telephone bills; voice-mail programming;
  • Managing and ordering of all office supplies;
  • Keep track of meetings for statistical purposes;
  • In charge of all deliveries (incl. dispatching of FedEx mail);
  • Photocopying and distribution of correspondence.
  • Managing Residence and Office wine inventory with the help of the HoD's secretariat.
This job function may be slightly modified in accordance with the needs of the Delegation. We offer a collegial atmosphere in an international environment and work in close coordination within the Administration team in supporting colleagues across the EU Delegation. The office is located at 666 Third Avenue, New York, NY 10017. Salary range is dependent on relevant and verified employment experience, starting from $51K (2 years of experience), $52K (3 years of experience), $56K (6 years of experience) etc. There is a competitive benefits package including annual leave days (24) and public holidays, flexible working hours, health and dental insurance and a retirement savings plan. Working hours are 37.5 per week. The expected start date will be August 1st, 2026. We look for 1. Some proven relevant experience (2 years); 2. Thorough knowledge of English, both written and oral; 3. Must be professional, discreet, and able to safeguard confidential matters discussed by others during performance of duties; 4. Excellent organisational skills and flexibility with regard to working hours; 5. Excellent communication and interpersonal skills; 6. Ability to work autonomously, calmly under pressure and use own judgment and initiative; 7. Excellent knowledge of IT tools (word, excel, outlook etc.). 8. Ability to deal with a varied range of people and working in a multicultural office, as part of an international team; The following will be considered an asset: 1. High school diploma is required, a Bachelor's degree is an asset; 2. Experience working in an EU Delegation and/or UN or any other international institution, 3. General knowledge of the EU and of operation of an EU Delegation and/or UN; 4. Knowledge of French. It is important to note that the Delegation of the European Union to the United Nations does not sponsor visas for Local Agents. Applicants must have an existing and valid US work authorization that does not require sponsorship by the Delegation (i.e. EAD card, green card, US citizen, only G1 or G3 visas for the spouses of EU officials posted at an EU Member State Mission to the United Nations.
