Job Description

Job Summary We are seeking an energetic and detail-oriented Receptionist / Office Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your organizational skills and office management expertise will support daily operations, streamline administrative tasks, and enhance overall office efficiency. This position offers an exciting opportunity for a proactive individual with strong communication skills and a passion for providing exceptional customer service to thrive in a fast-paced setting. Must be available every Saturday. Hours 8:30AM - 5:00PM Duties Greet visitors warmly, manage front desk operations, and direct guests appropriately Answer multi-line phone systems promptly, professionally, and with excellent phone etiquette Handle incoming calls, transfer calls, and take detailed messages as needed Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy Manage calendar appointments, schedule meetings, and coordinate calendar management for staff Utilize office management software including QuickBooks, Microsoft Office Suite, Google Workspace, and other computer tools to support administrative functions Perform clerical duties such as photocopying, faxing, mailing, and inventory management Assist with bookkeeping tasks and basic financial record keeping using QuickBooks or similar platforms Support customer service efforts by addressing inquiries via phone or email and providing timely support Maintain a tidy and organized office environment to promote efficiency and professionalism Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy Experience with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly preferred to serve diverse client needs effectively Familiarity with QuickBooks or bookkeeping software is a plus Strong typing skills with attention to detail for data entry and proofreading tasks Excellent customer service skills with a friendly demeanor and professional communication style Ability to manage time effectively, prioritize tasks efficiently, and handle multiple responsibilities simultaneously Previous experience as a receptionist in medical or dental offices is advantageous but not required; personal assistant experience is also valuable Join us to be part of a team where your organizational talents and customer service expertise will make a meaningful impact every day!

$23.00 - $26.00 per hour
