Job Description

Overview Join our dynamic team as an Office Receptionist/Secretary and become the welcoming face of our organization! In this role, you will be the first point of contact for visitors and callers, ensuring a smooth and professional experience. Your organizational skills and positive attitude will help keep our office running efficiently while providing exceptional customer support. This paid position offers an exciting opportunity to develop your administrative expertise, supporting daily operations with enthusiasm and precision for a Local Union. Responsibilities Greet visitors warmly and direct them appropriately. Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette Manage front desk activities including handling incoming and outgoing mail, routing emails to appropriate representatives, and making travel plans for reps. Perform data entry tasks such as updating records, managing calendars, and maintaining filing systems with accuracy and attention to detail Assist with clerical duties such as proofreading documents, preparing correspondence, and organizing files to ensure smooth office operations Use computer skills across Microsoft Office Suite (Word, Excel, Outlook and Publisher) and Google Workspace to create reports, presentations, and manage communications Skills Experience in front desk operations or administrative support roles with strong organizational skills Excellent communication skills Proficiency in computer literacy including Microsoft Office applications, Google Workspace, and data entry software Strong phone skills with experience managing multi-line phone systems efficiently Ability to multitask effectively while maintaining attention to detail; excellent time management skills are essential Previous office or clerical experience demonstrating proficiency in filing, proofreading, calendar management, and personal assistant tasks Knowledge of office management procedures combined with organizational skills to streamline daily activities Benefits 11
Federal/Postal Holidays Paid Hours:
9:30 am to 4:00 pm w/half hour unpaid lunch 10 days vacation to start out NO medical This role is ideal for someone who is self-motivated individual who can work with little oversight daily.
