The ideal candidate will be the first point of contact for clients and visitors, offering exceptional customer service while supporting the day-to-day operations of the office. This role requires excellent communication skills, strong office management abilities, and a capacity to multitask in a fast-paced, dynamic environment. Responsibilities Warmly greet clients and visitors as the first point of contact, ensuring a positive and professional first impression of our agency. Manage incoming phone calls with professionalism, assisting clients with insurance inquiries and routing calls to the appropriate team members. Schedule and coordinate appointments for insurance consultations, policy reviews, and other client meetings using office scheduling systems (e.g., Google Workspace). Assist with data entry and administrative tasks , ensuring accurate client records, policy documentation, and claims information are entered and maintained in our database. Organize and maintain office files , both digital and physical, for easy access and efficient management of client and policy documents. Support the team with day-to-day office operations , including ordering office supplies and maintaining office equipment to ensure smooth workflow. Provide general support to insurance agents and staff , including responding to client inquiries, preparing materials for meetings, and assisting with policy renewals and claims follow-ups. Communicate effectively with clients and colleagues , ensuring clarity and understanding of insurance services, policy details, and claims processes. Ensure confidentiality of sensitive client and insurance information in compliance with privacy laws and agency policies. Occasional travel to other office locations may be required. Mileage will be reimbursed in accordance with company policy. Requirements Previous experience in office administration or receptionist roles preferred, especially within an insurance, financial services, or customer service environment. Proficiency with office software (Google Workspace, Microsoft Office, etc.) and familiarity with client management software is a plus. Strong phone etiquette and excellent customer service skills, with the ability to address client concerns and provide helpful information about insurance products and services. Bilingual candidates are highly desirable to assist our diverse client base. Attention to detail and accuracy in data entry, document handling, and communication. Strong organizational and multitasking abilities , with a proven ability to prioritize tasks in a fast-paced environment. Positive attitude and a willingness to learn and grow within a supportive, team-oriented office.
