Elder Care is seeking an Office & Front Desk Coordinator to serve as both the welcoming face of our organization and an integral member of our administrative team. This position is far more than answering phones and greeting visitors. The Office & Front Desk Coordinator works closely with leadership and staff across all departments to support daily operations, process financial transactions, maintain records in multiple software systems, create informational materials, coordinate communications, and help ensure organizational programs and services run efficiently. Meaningful work serving aging adults and caregivers Supportive, mission-driven team environment Variety in daily responsibilities Opportunity to work with every department across the organization Stable Monday-Friday daytime schedule A position where your work directly supports programs, services, and community impact What You'll Do As the Office & Front Desk Coordinator, you will: Serve as the first point of contact for clients, caregivers, visitors, volunteers, vendors, and community partners Assist individuals in accessing Elder Care programs, services, events, and community resources Coordinate appointments, tours, screenings, referrals, and program registrations Process payments, donations, program fees, and other financial transactions Maintain records and enter information across multiple software systems and databases Create flyers, announcements, informational materials, and internal communications Process mail, faxes, office communications, and supply orders Support organizational events, fundraisers, outreach activities, and special projects Prepare reports, spreadsheets, participant lists, attendance records, and other documents Assist departments throughout the organization with administrative and operational needs Help maintain efficient communication between clients, visitors, staff, and departments Maintain a safe, welcoming, and professional front office environment Qualifications We are looking for someone who is: Friendly, professional, and customer-service focused Organized, detail-oriented, and able to manage multiple priorities Comfortable multitasking in a fast-paced environment Skilled in verbal and written communication Able to build positive working relationships with staff, volunteers, clients, caregivers, and community members Comfortable learning and utilizing multiple software systems, databases, and technology platforms Able to work effectively across multiple departments while balancing competing priorities Capable of handling confidential information with professionalism and discretion Dependable, adaptable, and willing to assist where needed to support organizational success
Preferred Qualifications:
Two years of administrative, office support, customer service, receptionist, or related experience Experience with Microsoft Office applications including Word, Excel, and Outlook Experience with Canva, Publisher, Adobe, or similar design software Experience handling payments, records, or financial transactions About Elder Care For more than 40 years, Elder Care has helped aging adults maintain independence, health, and quality of life through programs, services, education, and support.
