Job Overview:
We are seeking a highly organized and motivated Administrative Assistant with receptionist responsibilities to join our team. The ideal candidate will be the first point of contact for visitors, clients, and employees, while also providing essential administrative support to ensure smooth office operations. This dual role requires strong communication skills, attention to detail, and the ability to juggle various tasks in a fast-paced environment.
Key Responsibilities:
Receptionist Duties:
Greet and assist visitors, clients, and vendors in a professional and welcoming manner. Answer and direct incoming phone calls, emails, and inquiries to the appropriate personnel. Maintain the front desk area, ensuring it is tidy and organized at all times. Manage visitor check-ins and coordinate with relevant staff to ensure prompt assistance. Handle mail and deliveries, ensuring they are distributed to the correct department. Maintain the kitchen area and ensure that all supplies are in stock including coffee and paper goods.
Administrative Support:
Provide general administrative support, including data entry, filing, and document preparation. Manage office supplies inventory and reorder as necessary. Assist with scheduling and calendar management for senior staff or department heads. Prepare reports, presentations, and correspondence as needed. Coordinate travel arrangements and accommodations for staff as requested. Process and maintain records of invoices, purchase orders, and other office documentation. Process purchase order requests in a timely manner. Assist with organizing company events, meetings, and office functions.
Qualifications:
Education:
High school diploma or equivalent required; Associate's degree or relevant certification preferred.
Experience:
1-2 years of experience in an administrative or receptionist role preferred.
Skills:
o Excellent verbal and written communication skills. o Strong organizational skills and attention to detail. o Ability to prioritize tasks and manage time effectively. o Proficiency in Microsoft Office Suite (Word, Excel, Outlook). o Professional phone etiquette and customer service skills. o Ability to work independently and as part of a team. o Knowledge of office equipment (copiers, printers, etc.).

Work Environment:
