Job Description

Overview We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Previous office or clerical experience, along with familiarity with software such as Microsoft Office, (Excel) and social media platforms, will be highly valued. Bilingual abilities are a plus to assist diverse clients and staff. The Receptionist will play a vital role in maintaining an organized, welcoming environment that supports our company's mission and daily functions. Responsibilities Greet visitors and clients in a professional and friendly manner at the front desk Manage multi-line phone systems, screen calls, and direct inquiries appropriately Schedule appointments and manage calendars using office management software Perform data entry, filing, and maintain accurate records Handle incoming and outgoing correspondence, including emails and mail distribution Support administrative tasks such as proofreading documents, managing office supplies, and organizing files Provide excellent customer service support to clients and visitors Maintain a clean and organized reception area to ensure a welcoming environment Coordinate with other departments to facilitate smooth office operations Qualifications Proven experience in an office environment or clerical role, preferably as a receptionist or administrative assistant Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), and data entry skills Experience with multi-line phone systems and excellent phone etiquette Ability to manage calendars, schedule appointments, and handle time-sensitive tasks effectively Bilingual skills are preferred to assist a diverse clientele Excellent organizational skills with attention to detail and accuracy in proofreading and data management Strong customer service orientation with professional communication skills Ability to work independently while managing multiple priorities in a fast-paced environment This position offers an opportunity to be an integral part of our team by providing exceptional administrative support while fostering a positive environment for clients and staff alike.
