Job Description

Fair Winds Dermatology is seeking a full-time front desk receptionist to join our team! We pride ourselves on having a supportive, caring, fun, and rewarding work environment. We value the key role our Front Desk Receptionist plays in the patient experience as both the first and last point of contact in our patient's experience. Our Front Desk Receptionist also plays an integral part in smooth patient flow and organized day-to-day operations. We are looking for someone to join our team who is compassionate, reliable, hard-working, motivated, has excellent communication and interpersonal skills, and can adapt to a quick-paced work environment. This position will be responsible for accurately managing all aspects of the front office workflow including patient check-in, check-out, scheduling, insurance verification, financial collections, and opening and closing procedures.
Essential Duties & Responsibilities Check-In Responsibilities:
Greet patients, visitors, and vendors in a prompt, friendly, and professional manner Ensure completion of all required documentation, including intake forms, consents, and sign-in procedures Accurately enter and/or update patient demographics in our EMR system Verify insurance eligibility, benefits, referrals, and authorizations prior to service based on practice policy Answer incoming calls and route messages with care and confidentiality Maintain patient flow and communicate delays, questions, or issues to clinical staff and management Ensure front office and waiting area are clean, organized, and ready for daily operations Open and prepare the office for business each day; assist with end-of-day closing and security procedures
Check-Out Responsibilities:
Greet patients at check-out and provide prompt, professional assistance Review provider notes and schedule treatment plans and follow-ups Schedule future appointments based on provider recommendations and enter patients into recall system when appointments are not scheduled Collect all patient financial responsibilities such as remaining co-pays, deductibles, co-insurance, and outstanding balances and process same day refund/voided transactions Dispense skincare products and maintain accurate logs of purchases Post daily charges in real-time and support back-office operations as needed Balance daily collections through our EMR and merchant processing platform in accordance with practice policy Common General Duties Maintain strict patient confidentiality in accordance with HIPAA regulations Adhere to OSHA and all applicable healthcare compliance standards Follow all company policies, procedures, and workflows Provide excellent customer service with a positive, professional demeanor at all times Utilize proper telephone etiquette, including call handling, holds, and message routing Communicate effectively and work collaboratively with clinical team and leadership. Report broken equipment, safety hazards, or facility concerns to management promptly Complete all assigned tasks within established timelines Maintain regular attendance and punctuality (arrival required at least 30 minutes prior to clinic opening) Perform additional duties as assigned Education & Experience High school diploma or GED required Minimum 1-3 years of medical front office or customer service experience preferred Dermatology or specialty clinic experience strongly preferred Knowledge, Skills & Abilities Strong communication and interpersonal skills Excellent organizational and multitasking abilities Ability to work independently Experience with EMR/practice management systems preferred Strong attention to detail and accuracy in data entry and financial transactions Proficiency in Microsoft Outlook, Word, and general computer systems Typing speed of at least 60 WPM Professional Standards Maintain a professional appearance and demeanor at all times Demonstrate honesty, integrity, and a strong work ethic Team oriented with willingness to take initiative to support clinic operations as needed Ability to take direction and feedback from management and physician leadership Work Environment & Schedule • Full-time, on-site role in a dermatology office, 4 days a week Frequent interaction with patients and clinical team members Exposure to confidential and sensitive information Must arrive at least 30 minutes before scheduled clinic hours Requires standing, sitting, bending, and occasional lifting up to 40 lbs Ability to perform repetitive tasks such as typing and phone use Benefits Eligible full-time employees will receive 9 paid holidays, tiered PTO accrual, 401k with employer matching up to 4% and profit sharing, health, dental, vision, and life insurance.
