Job Description
Join Our Team at Revived Medical Aesthetics! Are you a customer service professional with strong organizational skills and a passion for beauty and wellness? At Revived Medical Aesthetics , we provide a luxurious, results-driven experience for our clients, and we are seeking a Front Desk Coordinator to serve as the welcoming face of our med spa. In this role, you'll manage client interactions, coordinate appointments, and ensure the seamless daily operations of our front desk. Key Responsibilities Client Relations & Front Desk Management
- Greet clients warmly and facilitate check-in and check-out procedures.
- Schedule and confirm appointments while managing waitlists to optimize efficiency.
- Respond promptly to phone calls, text messages, emails, and appointment inquiries.
- Assist clients with intake forms, pre-appointment instructions, and membership/rewards program enrollment.
- Handle client payments and ensure accurate billing and transaction records. Administrative & Office Support
- Maintain accurate client records and update appointment schedules.
- Track and assign incoming leads via Docovia and High Level for follow-up.
- Manage provider schedules and communicate changes as needed.
- Oversee office supply inventory, ensuring treatment rooms and front desk areas are well-stocked and organized.
- Handle incoming mail and packages, including distribution and tracking.
- Record and distribute meeting notes to ensure team-wide communication. Facility Presentation & Client Comfort
- Maintain a clean, inviting reception and work area for a luxury client experience.
- Ensure client amenities (water, numbing creams, skincare samples, etc.) are replenished daily.
- Power down and organize front desk equipment at the end of each shift. Team Collaboration & Process Improvement
- Support Med Spa Manager and providers by optimizing front desk workflows.
- Assist in enhancing client engagement and operational efficiency through proactive problem-solving .
- Provide feedback on front desk processes and contribute ideas to enhance the client experience.
Qualifications:
✔ High school diploma or equivalent (required) ✔ 2+ years of experience in a customer-facing administrative or reception role (preferred) ✔ Strong communication skills, both verbal and written ✔ Ability to multitask and stay organized under pressure ✔ Familiarity with CRM software, phone systems, and scheduling platforms ✔ Positive, professional demeanor with a passion for client serviceBonus Skills:
✔Experience in medical aesthetics, beauty, or wellness industries ✔ Knowledge of Docovia, High Level, or other CRM platforms ✔ Basic understanding of Med Spa treatments and proceduresPay:
