Job Description

Job Overview We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative and clerical skills within a dynamic environment. 4 day work week. Monday

  • 4PM 2 positions available
  • 1 Full Time/ 1 Part Time (Flex)
  • Only Full time position is benefits eligible.
Responsibilities Greet visitors warmly and direct them appropriately, ensuring a professional and friendly first impression Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette Maintain a clean and organized front desk area, including filing, data entry, and document proofreading Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including data entry, filing systems, proofreading documents, and maintaining office records Qualifications Proven experience in office administration or reception roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities Bilingual abilities are a plus to serve diverse client needs effectively Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management preferred Knowledge of office management software such as QuickBooks or bookkeeping experience is advantageous Prior experience in automotive, insurance or as a receptionist or personal assistant is beneficial but not required Join us to be part of a vibrant team dedicated to providing outstanding support while advancing your administrative career!
