Job Description

Job Overview We are seeking a dynamic and highly organized Real Estate Transaction Coordinator to join our team! This vital role ensures the smooth and efficient handling of all real estate transactions from contract to closing. As a Transaction Coordinator, you will be the central point of contact, coordinating between clients, agents, lenders, escrow officers, and other stakeholders. Your proactive approach and exceptional organizational skills will help facilitate seamless transactions, ensuring a positive experience for all parties involved. Duties Manage all aspects of real estate transactions, including document preparation, review, and compliance with state and local regulations Coordinate communication between buyers, sellers, agents, lenders, escrow officers, and title companies to ensure timely progress Maintain accurate records using tools like Microsoft Office and Google Workspace for data entry, filing, and document management Oversee calendar management for deadlines such as inspections, appraisals, and closing dates to keep transactions on schedule Handle administrative tasks such as proofreading contracts, managing multi-line phone systems, and providing excellent customer support Assist with office management duties including front desk responsibilities, answering phones with professional phone etiquette, and managing office supplies Support bookkeeping activities using QuickBooks or similar software to track transaction-related expenses and commissions Experience Proven experience in office management or administrative support within a real estate or related environment Strong clerical skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Bilingual abilities are highly desirable to serve diverse client needs Prior experience as a dental or medical receptionist or personal assistant is advantageous due to similar customer service demands Familiarity with office equipment such as multi-line phone systems and front desk operations Demonstrated ability to handle confidential information with discretion and professionalism Join us in this exciting role where your organizational prowess will directly contribute to successful real estate transactions!
