This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be a proactive communicator with strong organizational skills, capable of managing multiple tasks efficiently in a small start up environment. This paid position offers an opportunity to develop your office management expertise while also helping clients with their health and wellness goals. Duties Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and courier services Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents Perform data entry and bookkeeping tasks to support office financials Schedule appointments, manage calendars, and coordinate meetings for clients Assist with office management duties such as ordering supplies, maintaining equipment, and overseeing general office organization Ensure efficient front desk operations by managing visitor sign-in procedures and maintaining a professional reception area Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy in general Excellent phone etiquette with experience managing multi-line phone systems Bilingual abilities are a plus to effectively communicate with diverse populations Previous experience as a dental or medical receptionist is advantageous but not required Demonstrated ability to handle multiple priorities efficiently with excellent time management skills Join us to be the friendly face of our organization while providing essential administrative support that keeps our operations running smoothly.
