Location:
Primary site assigned (Regional coverage required) The Front Desk & Patient Services Representative serves as the primary Director of First Impressions and a critical gatekeeper in the patient care continuum. This role balances high-density administrative tasks with essential clinical support functions. The ideal candidate possesses the clinical judgment to manage scheduling governance and the emotional intelligence to navigate crisis de-escalation in a fast-paced behavioral health environment. Key Responsibilities 1.
Clinical Governance & Scheduling Authority Compliance Oversight:
Proactively identify and flag clinical non-compliance, such as overdue treatment plans or missing assessments, within the Tebra EHR system.
Scheduling Enforcement:
Exercise authority to block or refuse scheduling for patients with outstanding clinical or administrative compliance requirements.
Escalation Management:
Recognize the urgency of clinical needs and manage the movement of escalations to providers or supervisors while maintaining a patient-centered approach.
Patient Advocacy:
Deliver compliance-based scheduling refusals with professional courtesy, ensuring the patient understands the necessity of meeting clinical milestones for continued care. 2. Patient Intake & Front Office Operations Greet patients and visitors while verifying identity via Name, DOB, and Photo ID. Manage a multi-line phone system (RoundCube), directing calls to clinical, billing, or crisis teams per established protocols. Facilitate complex scheduling and calendar management for multiple providers to optimize clinic flow. Protect patient confidentiality through strict adherence to HIPAA and PHI privacy regulations. 3. Revenue Cycle & EHR Management Utilize EHR platforms for real-time demographic updates, documentation logging, and patient arrival notifications. Perform insurance verification, scanning and uploading IDs and insurance cards into the EHR. Collect patient payments (copays, coinsurance, and balances) at check-in and manage end-of-day payment logs. Monitor accounts for high balances, escalating to the billing coordinator when necessary. 4. Clinical & Laboratory Support Phlebotomy Support (Desired): Perform blood draws and specimen collection as needed to support clinical workflows and laboratory orders. Assist with the coordination of hospital discharges, including demographic updates and requesting clinical documentation. Maintain clinical supply inventories and ensure medical forms are current and accessible. 5. Crisis Support & Behavioral Health Compliance Utilize crisis de-escalation skills to handle patient crises or walk-ins with empathy and professionalism. Document all patient interactions, including reasons for contact and any necessary escalations to clinical supervisors. Manage the Release of Information (ROI) process, ensuring records are provided only to authorized parties.
Qualifications & Requirements Experience:
2 or more years of experience in a healthcare front desk role preferred. Experience in behavioral health or integrated primary care is highly valued.
Clinical Skills:
Phlebotomy experience (Desired but not required). Candidates with active certification will be prioritized.
Technical Proficiency:
High-level competency in Microsoft Office Suite, Google Workspace, and EHR platforms (Tebra preferred).
Communication:
Exceptional phone etiquette and crisis de-escalation skills. Bilingual (English/Spanish) strongly preferred.
Mobility:
Reliable vehicle and valid driver's license are mandatory. This role requires regional coverage travel to various office locations in NJ and PA as assigned.
Physical Demands & Work Environment ADA Compliance:
Ability to sit or stand for extended periods. Must be able to lift up to 15 lbs.
Sensory Demands:
Requires high-volume data retrieval, visual focus on computer monitors, and the ability to maintain focus in a busy front-office environment.
Clinical Safety:
Potential exposure to bloodborne pathogens during phlebotomy tasks. Adherence to OSHA safety protocols is mandatory.

Pay:
$17.00 - $21.00 per hour
