Job Description

At Pioneer Counseling and Consulting, the front desk is more than an administrative station — it's the first moment of safety for every patient who walks through our doors. We are seeking a friendly, grounded, and detail‑oriented Behavioral Health Office Receptionist who brings warmth, professionalism, and a patient‑first mindset to every interaction. In this vital role, you will support patients with compassion, help maintain a Respectful nd organized environment, and ensure that our clinical team can focus fully on care. Duties Greet each patient warmly and professionally, helping create a welcoming, trauma‑informed environment from the moment they arrive. (CRUCIAL) Schedule appointments efficiently using our electronic health record system, supporting patients with clarity and kindness. Verify insurance coverage (including Medicare and commercial plans) and ensure accurate, complete documentation. Manage patient check‑in and check‑out processes, including intake forms and required paperwork. Answer multi‑line phones with a calm, friendly tone and direct calls appropriately. Maintain accurate medical records while upholding strict HIPAA confidentiality standards. Assist with billing procedures, including basic collections and insurance workflows. Support daily administrative tasks such as filing, data entry, and maintaining organized office systems. Collaborate closely with clinical staff to support smooth patient flow and a respectful environment. Skills Experience in a medical office or healthcare administrative role; behavioral health experience is a plus. Familiarity with EMR systems such as Tebra Excellent communication skills and warm phone etiquette Strong knowledge of HIPAA regulations and commitment to protecting patient privacy. Confidence in insurance verification and basic billing workflows. Exceptional organizational skills and attention to detail.
