Position:
Fields Howell LLP is seeking a professional, organized, and detail-oriented Receptionist / Administrative Assistant to join our Yardley, Pennsylvania office. This entry-level position serves as the first point of contact for clients, visitors, and vendors while also providing administrative support to attorneys and staff. The ideal candidate will have excellent communication and organizational skills, a strong customer-service mindset, and the ability to manage multiple responsibilities in a fast-paced office environment. This position requires a dependable individual who is comfortable handling front desk responsibilities, office coordination, and administrative tasks with professionalism and discretion.
Key Responsibilities Reception & Front Desk Duties:
Greet clients, visitors, and vendors in a professional and courteous manner Answer and direct incoming phone calls Monitor the front desk and maintain a welcoming office environment Receive, sort, and distribute incoming mail, packages, and deliveries Prepare outgoing mail and coordinate shipping services as needed Open and secure the office entrance for visitors and deliveries as appropriate Coordinate conference room scheduling and assist with meeting setup Maintain cleanliness and organization of common office areas
Administrative Support Duties:
Assist attorneys and staff with general administrative tasks, including filing, scanning, copying, and document preparation Maintain organized electronic and physical records Track case files, reporting deadlines, and ongoing litigation matters, and communicate status updates as needed Coordinate office supplies and maintain inventory levels Assist with data entry, scheduling, and calendar management Proofread correspondence and legal documents for formatting and accuracy Support onboarding and other office administrative functions as needed Perform additional duties and special projects assigned by management Qualifications Associate degree, bachelor's degree, or equivalent professional experience preferred Previous administrative, receptionist, or office support experience preferred Professional demeanor and strong interpersonal skills Excellent written and verbal communication skills Strong organizational skills with exceptional attention to detail Ability to multitask and prioritize responsibilities effectively Ability to handle confidential information with discretion and professionalism Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint Familiarity with legal terminology or prior law firm experience is a plus Strong proofreading and time-management skills Benefits Offered 401(k) with safe harbor contribution Health, Dental, Vision & Life insurance Professional development assistance Paid Parental Leave Generous paid time off + paid holidays
