This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and proficient in managing multiple tasks efficiently. Your positive attitude and strong organizational skills will help create a welcoming environment for clients, visitors, and team members alike. Duties Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle front desk operations, including scheduling appointments, maintaining visitor logs, and managing incoming correspondence Perform data entry and maintain organized filing systems to support office efficiency Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and communication Assist with calendar management and scheduling for team members or executives Support office management tasks such as supply ordering, photocopying, proofreading documents, and basic bookkeeping using QuickBooks or similar software Skills Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar) Strong typing skills with attention to detail for proofreading and data entry tasks Experience with multi-line phone systems and phone etiquette to handle inquiries professionally Bilingual abilities are a plus to serve diverse clients effectively Knowledge of office management practices including filing systems, calendar management, and time management techniques Customer service expertise with a friendly demeanor and effective communication skills Familiarity with medical or dental receptionist duties is advantageous but not required; experience as a personal assistant or in bookkeeping is beneficial Join us to be part of a vibrant team dedicated to delivering exceptional service while supporting the smooth functioning of our office environment!
