In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and callers alike. Your proactive approach and excellent communication skills will ensure smooth office management and create a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced, supportive environment. Duties Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Maintain the front desk area, ensuring it remains organized, clean, and inviting Handle data entry tasks such as filing, proofreading documents, and updating records using Microsoft Office, Google Workspace, and other office software Support office management activities including calendar management, appointment scheduling, and basic bookkeeping with QuickBooks or similar tools Assist with clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory Provide customer support by addressing inquiries accurately and professionally while maintaining confidentiality Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Previous office experience or clerical experience demonstrating reliability and attention to detail Exceptional customer service skills coupled with professional phone etiquette and active listening abilities Bilingual capabilities are highly desirable to serve diverse client needs effectively Familiarity with front desk operations, multi-line phone systems, data entry, filing, proofreading, and calendar management Experience in medical or dental receptionist roles is a plus; knowledge of medical or dental office procedures is advantageous Personal assistant experience or office management background can enhance your effectiveness in this role Additional Responsibilities as assigned Join our team as a Receptionist where your enthusiasm for organization and service excellence will shine!
