Job Description
Job Summary We are seeking a dedicated and professional Receptionist/Front Office Coordinator to join our dynamic team. This role is essential in creating a welcoming environment for visitors and clients while efficiently managing front desk operations. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a proactive approach to office management. As the first point of contact, you will play a vital role in ensuring smooth daily operations, providing exceptional customer service, and supporting administrative functions across the organization. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization. Manage multi-line phone systems with professionalism, directing calls accurately and courteously. Handle incoming correspondence, emails, and inquiries promptly and effectively. Maintain organized filing systems, including document management, data entry, and record keeping. Assist with calendar management, scheduling appointments, meetings, and coordinating events. Support office management tasks such as ordering supplies, maintaining inventory, and overseeing office equipment. Utilize computer skills to prepare documents using Microsoft Office Suite and Google Workspace applications. Perform clerical duties including proofreading, data entry, and updating databases like QuickBooks or similar bookkeeping software. Provide customer support by addressing inquiries professionally and resolving issues efficiently. Manage phone etiquette standards to ensure clear communication with clients and team members. Support the Executive Assistant in supporting the Executives Assist personal or executive assistants with administrative tasks as needed. Maintain a clean and organized front desk area to promote a professional environment. Experience Prior office experience in a receptionist or administrative support role is required. Proven experience managing multi-line phone systems and providing excellent customer service. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools. Familiarity with office management software such as QuickBooks or similar bookkeeping programs. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Experience handling clerical duties such as proofreading, filing, and calendar management. Excellent communication skills with professional phone etiquette and customer support capabilities. Ability to multitask effectively while maintaining attention to detail.
