Job Description

Company Overview Heritage Pools, LLC is dedicated to creating exceptional backyard retreats through innovative and sophisticated pool designs. We prioritize craftsmanship and attention to detail to deliver elegant outdoor spaces that reflect our clients' visions. Overview This role as the first point of contact for clients, visitors, and employees while providing high-level administrative support to company leadership. This role requires exceptional customer service, strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Greet and welcome visitors, clients, and vendors in a professional and friendly manner. Answer, screen, and direct incoming phone calls. Manage incoming and outgoing mail, packages, and deliveries. Maintain a clean, organized, and professional reception area. Assist customers with inquiries and direct them to the appropriate department. Monitor office supplies and place orders as needed. Coordinate conference room scheduling and visitor accommodations. Executive Assistant Support Provide administrative support to executive leadership. Manage calendars, appointments, meetings, and scheduling conflicts. Coordinate travel arrangements, including flights, hotels, transportation, and itineraries. Prepare reports, presentations, correspondence, and meeting materials. Take meeting notes and distribute follow-up action items when required. Handle confidential and sensitive information with discretion. Assist with special projects and company initiatives. Track deadlines and ensure timely completion of executive priorities. Administrative Duties Maintain electronic and paper filing systems. Assist with data entry, recordkeeping, and document management. Coordinate company events, meetings, and employee functions. Support Human Resources with onboarding paperwork and administrative tasks. Process purchase orders, invoices, and vendor communications as assigned. Perform other administrative duties as needed to support business operations. Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Minimum of 2 years of administrative, receptionist, or executive assistant experience preferred. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent verbal and written communication skills. Strong organizational and time management abilities. Ability to multitask and prioritize competing demands. Professional appearance and demeanor. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment. Knowledge, Skills, and Abilities Exceptional customer service skills. Adaptability and flexibility in a dynamic work environment. High level of professionalism and reliability. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to operate standard office equipment. Ability to lift and carry office supplies and packages up to 25 pounds occasionally.
Pay:
From $23.00 per hour
