Job Overview Sinaptia is seeking a warm, organized, and highly reliable Secretary / Front Desk Coordinator to serve as the first point of contact for patients at our mental health clinic. This role is essential in creating a calm, professional, and welcoming environment for individuals seeking psychiatric care. The ideal candidate combines excellent administrative skills with empathy and professionalism , understands the importance of patient confidentiality , and is comfortable managing multiple responsibilities in a healthcare setting. This position plays a key role in ensuring the smooth daily operation of the clinic while supporting both patients and clinicians. Key Responsibilities Patient Reception & Experience Welcome patients and visitors with warmth, professionalism, and discretion Create a calm and organized front desk environment that reflects the clinic's commitment to patient care Assist patients with check-in, paperwork, and general questions about appointments Scheduling & Communication Manage appointment scheduling and clinician calendars Answer and direct incoming calls in a courteous and professional manner Respond to patient inquiries and messages while maintaining confidentiality Coordinate appointment reminders and follow-ups Administrative & Office Support Maintain accurate patient records and perform data entry within clinic systems Handle incoming mail, documents, and electronic correspondence Organize files and maintain administrative documentation Support general office operations including supplies and front desk organization Operational Support Assist with basic billing coordination and documentation as needed Ensure all patient information is handled with strict confidentiality Support clinicians with administrative tasks that improve clinic efficiency Help maintain a professional and welcoming clinical environment Qualifications Required Strong organizational and multitasking skills Excellent interpersonal and communication abilities High level of professionalism and discretion Comfortable using computers, scheduling systems, and office software Ability to work efficiently in a fast-paced office environment Preferred Previous experience in a medical office, mental health clinic, or healthcare setting Bilingual (English/Spanish) Familiarity with electronic health records (EHR) systems Experience with scheduling, patient coordination, or medical reception Knowledge of insurance verification or medical office procedures Ideal Candidate The right person for this role is someone who: Is naturally organized and detail-oriented Enjoys helping people and creating a positive environment Can maintain confidentiality and professionalism at all times Works well independently while supporting a clinical team Is calm, compassionate, and reliable About Sinaptia Sinaptia is a modern psychiatric clinic dedicated to providing thoughtful, evidence-based mental health care in a supportive and patient-centered environment.
