Job Description

The Southeast Tennessee Human Resource Agency (SETHRA) is seeking a friendly, organized, and professional Receptionist to serve as the first point of contact for clients, visitors, and staff. The ideal candidate will provide exceptional customer service, manage front desk operations, and support administrative functions to ensure smooth day-to-day operations. Welcome all SETHRA visitors and guests Front desk, multi-line phone, Microsoft Teams Welcomes walk-in clients, visitors and guests daily Directs each to on-site personnel Understands program specific details to ensure directing walk-ins to the correct department Conveys a warm and friendly reception to all coming into SETHRA daily Evaluates and prioritizes incoming walk-in needs, directs the most critical to correct department daily Answer incoming phone calls, and forward to correct department depending on caller's needs Maintains office security by following safety procedures, controlling access via the reception guest sign-in register, issuing visitor badges, and announcing visitors and vendors on a daily basis Assists individuals application of benefits THO Assist visitors and clients utilizing agency services with applications and documentation as needed by the client Distributes applications to appropriate program based on information solicited as needed Orders and maintains office supplies COS, Staples Creates office supply orders for various departments within 2 days of receiving order request Ensures and reconciles product arrival corresponds with items ordered as needed Confirms with delivery personnel order is received as needed Distributes items and/or communicates to personnel of product arrival as needed Complete accounting tasks SETHRA established Accounting procedure Prepares check requests, credit card authorizations, and purchase orders weekly Ensures PO log is always up-to-date as POs are created and issued Receives, logs, and prepares miscellaneous cash payment for accounting within 3 days of receiving Sort and process Incoming postal mail Organizational skills, Department postal mail file bin. Sort and distribute mail and deliveries for internal and external office distribution within 24 hours of receiving Reception desk and lobby area cleanliness Cleaning supplies Maintain a clean and organized work station, conduct regular cleaning of lobby area on a daily basis Sign-in logs Reception Coverage form template, Microsoft Teams Keep visitor/client sign-in log and employee daily time log available Find coverage for expected days off as needed Assist with HR tasks Pronto system Take New-Hire photo and prepare New-Hire ID badges when they arrive for orientation, help with sorting and filing as needed. Additional task as needed Knowledge, Skills, Abilities and Other Attributes Required Display a friendly, warm and inviting personality Ability to interact effectively with the public Excellent verbal communication skills Ability to deescalate tense situations when handling multiple individuals at once Superior phone etiquette Capable of prioritizing walk-in individual needs, phone calls and personnel interruptions in professional and courteous manner Detail oriented Microsoft Suites proficient i.e. Word, Excel, Teams and Outlook Able to keep confidential information Proficient in utilizing standard office equipment; multi-line phone system, copier, scanner, fax machine and computer Minimum Qualifications High School diploma or equivalent 2 years reception experience Experience working with the public in a customer service capacity, preferably an office setting
Note:

Supervisory Responsibility This position does not have supervisory responsibilities. Work Environment This position operates in a professional office environment. Professional attitude and appearance are required. Physical Demands This is a largely sedentary position, the individual in the position is required to be present at the front reception area. Requires the ability to lift files, open file cabinets, bend or stand. Position Type and Expected Hours of Work This is a full-time position at 37.5 hours per week.
