Job Overview We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative processes. Your energy and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations in a fast-paced environment. Responsibilities Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls to the appropriate departments or personnel with professionalism and courtesy. Handle all front desk duties including check-ins, appointment scheduling, and visitor sign-in procedures. Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office and Google Workspace tools. Support office management tasks such as calendar management, appointment setting, and basic bookkeeping with QuickBooks or similar software. Assist with clerical duties like proofreading documents, managing correspondence, and maintaining office supplies inventory. Provide excellent customer support by addressing inquiries via phone or email with patience and clarity while demonstrating proper phone etiquette. Experience Prior office experience or administrative support roles preferred, especially in busy environments such as medical or dental offices. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills. Experience working with multi-line phone systems and handling high-volume customer interactions is highly desirable. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively. Clerical experience involving filing, proofreading, calendar management, and basic bookkeeping using QuickBooks or similar platforms is advantageous. Excellent phone etiquette coupled with customer service skills to support visitors and callers professionally at all times.
