This vital role involves managing front desk operations with enthusiasm, ensuring smooth communication, and providing exceptional customer support. The ideal candidate will demonstrate excellent organizational skills, a positive attitude, and the ability to handle multiple tasks efficiently. Your role will be instrumental in creating a friendly and organized environment that reflects our commitment to outstanding service and operational excellence. Duties Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, directing calls accurately and courteously to the appropriate departments or personnel Handle all front desk responsibilities including scheduling appointments, maintaining calendars, and managing visitor logs Perform data entry tasks using Microsoft Office, Google Workspace, and other office management tools to keep records current and organized Assist with clerical duties such as filing, proofreading documents, and maintaining office supplies inventory Support office management activities by coordinating meetings, managing correspondence, and ensuring efficient workflow Provide exceptional customer service support by addressing inquiries promptly and professionally while demonstrating strong phone etiquette Experience Proven office experience or administrative background with demonstrated proficiency in clerical tasks and customer service Familiarity with multi-line phone systems and office management software such as QuickBooks or similar tools Strong computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Prior experience as a receptionist in medical or dental offices is a plus but not required; relevant personal assistant experience is also valuable Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively Demonstrated professionalism in handling phone etiquette, proofreading documents, and supporting administrative functions Join our team today to be part of a dynamic environment where your organizational talents and customer service skills make a real difference!
