Full Job Description Description:
Gestalt Community Schools is looking for a receptionist to join our school teams for the 2026 - 2027 school year. The Receptionist serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system and assists assisting with the overall operations of administrative functions at the Welcome Center. The Receptionist will also provide administrative support to the Office Secretary, Office Manager and/or Operations Manager. The Receptionist will report to the Office Manager or the Operations Manager depending on the school location and staffing model. They will also have a dotted line relationship to the assigned Network Ops Manager. Receptionist will receive co-evaluations from the school leader and assigned Network Ops Mgr. Duties and Responsibilities The responsibilities of the Office Secretary are, but not limited to, the following: Customer Service Responsible for meeting and greeting scholars, parents, guests, and staff as they enter and exit the school in a welcoming and professional manner; Answer phones; send and receive faxes; open and distribute mail to the appropriate staff member; Coordinate service calls and vendor delivery and drop off; Serve as a one stop resource for callers and visitors that have general inquiries; School Operations Responsible for filing and maintenance of student files; May be responsible for tracking attendance, tardies, and other scholar reporting; Assist with scholar enrollment and orientation; Have in depth knowledge of all Office Operations functions including all related Front Office Systems including but not limited to PS Student Information, Attendance entry and tracking, InfoSnap Enrollment, EIS, and Intact.; Provide clerical and programmatic support to school administrators and staff; and, Serve as the primary backup to the Office Secretary. Facilities & Maintenance Ensures that the main office is neat, organized, welcoming and has all important parent-facing materials Food Service, Transportation, and Special Events Assists the operations manager or office manager with coordinating (e.g. transportation, lodging, meals, staffing plan, etc.) all off-site field trips and all on-site special events (Report Card Nights, Performances, Graduation, staff celebrations, etc.. Student Information and Academic Operations Support Accurately inputs data into student information systems in compliance with federal, state, network and school expectations; and, Assists with printing report cards/progress reports. Student Enrollment and Withdrawal process Assists with student enrollment and withdrawal processes; and, Assists with maintenance of student records to ensure they are complete and up-to-date(contact information, enrollment documents, immunizations, etc..).
Requirements:
Associates degree preferred. 0-1+ years of experience as an office secretary or office assistant role; Bilingual a plus; Excellent organizational and communication skills; Friendly and able to work well with others in a fast-paced environment; Ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions; Flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high levels of responsibility and multiple priorities; Ethical Computer and financial literate, including Microsoft Word and Excel Commitment to the belief that outstanding school leaders, staff, and teachers can achieve excellent outcomes for all students
