Experience Services Receptionist - Nashville, TN Job Description The Experience Services Receptionist delivers exceptional client and guest experiences by welcoming, assisting, and supporting all customers and visitors in a professional, friendly, and efficient manner. This client-facing role combines a passion for service, strong people skills, and a hospitality-driven approach to create memorable workplace experiences. The position includes front desk operations, administrative support, and coordination with facilities and other teams to ensure a seamless, high-quality experience for employees, visitors, and vendors. Responsibilities Enthusiastically welcome and assist guests upon their arrival, including supporting office orientations, departures, and other visitor needs. Engage with visitors, employees, and callers in a friendly and professional manner, ensuring all interactions are timely, helpful, and service-focused. Provide accurate information and wayfinding to visitors regarding campus services, activities, meeting spaces, work areas, and amenities. Greet and assist visitors, answer questions, and provide clear directions to appropriate locations within the facility. Demonstrate professionalism, confidence, and exceptional customer service at all times while representing the front desk and experience services function. Act as the central point of contact for client, visitor, and employee inquiries related to services, activities, wayfinding, and building functions. Actively monitor and maintain a clean, safe, and organized front desk and lobby area that reflects brand standards and fosters a welcoming environment. Implement and monitor service standards to ensure they meet or exceed expectations for client and guest experience. Work closely with facilities management and other teams to proactively communicate and prepare for meetings, events, and activities. Create work orders for custodial, maintenance, safety, and security needs using the appropriate channels and systems. Proactively anticipate the needs of clients, customers, and support teams, identifying potential issues and offering creative solutions. Identify potential risks to privacy, security, or operations and escalate concerns appropriately to avoid disruptions or breaches. Perform general administrative support tasks, including handling incoming calls and directing them to the appropriate personnel. Maintain and update phone lists and other contact information to support efficient communication. Answer general phone inquiries professionally, offer callbacks when necessary, and prioritize in-person visitors over phone calls when required. Manage the check-in process for visitors and vendors, including issuing visitor badges and ensuring proper registration for employees and temporary badges. Support badging activities and ensure compliance with visitor and employee access procedures. Arrange transportation for incoming and outgoing services as needed to support visitors and operations. Maintain a neat, organized, and well-stocked front desk area to ensure smooth daily operations. Provide suggestions for improving the workplace experience and contribute ideas for best-in-class services and enhancements. Assist with meeting and event logistics, including coordination of spaces and services, to enhance the overall client and employee experience. Support additional workplace initiatives and ad hoc duties as requested to contribute to a high-quality, consistent experience for all stakeholders. Essential Skills Strong verbal and written communication skills with the ability to interact confidently with clients, guests, and colleagues. Excellent customer service and interpersonal skills, with a hospitality-driven approach to client and guest interactions. Ability to multitask effectively and manage time efficiently in a fast-paced, front-facing environment. Proactive problem-solving abilities and a positive, solutions-oriented attitude. Prior experience in hospitality or a client-facing role, preferred for success in this position. Experience performing front desk duties, including greeting visitors, answering phones, and managing visitor flow. Competence in data entry and basic administrative support tasks. Ability to handle receptionist and clerical responsibilities, including managing an inbox and phone inquiries. Professional demeanor and appearance appropriate for a corporate front desk environment. Comfort working with badging processes, visitor registration, and access control procedures. Additional Skills & Qualifications Experience with Computerized Maintenance Management Systems (CMMS) programs is a plus but not required. Experience in hospitality or service-focused environments is beneficial. Demonstrated ability to collaborate with facilities, security, and other operational teams. Familiarity with creating and tracking work orders for maintenance, custodial, or safety needs is advantageous. Interest in contributing ideas to improve workplace experience and service standards. Ability to adapt to changing priorities and support ad hoc duties as needed. Work Environment This role is based onsite in Nashville, TN, within a professional corporate environment. The schedule is Monday through Friday from 8:00 a.m. to 5:00 p.m., with the expectation that the receptionist is at their desk by 8:00 a.m. and occasional overtime as needed to support business demands. The position is planned with the intention to convert to a full-time permanent role. The work is primarily front desk and reception-based, with a focus on in-person interaction, phone coverage, and administrative support. The environment includes collaboration with facilities management and other workplace teams, and involves using systems to create work orders and manage visitor access and badging. The workplace offers onsite parking and access to a fitness center, contributing to a comfortable and well-equipped setting. Dress and conduct are expected to be very professional to align with brand standards and the high level of client and guest interaction. Job Type & Location This is a Contract position based out of Nashville, TN. Pay and Benefits The pay range for this position is $17.00 - $18.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
