Receptionist Position Summary R4 Management Services LLC, a small business center that supports local entrepreneurs and professionals, is seeking a friendly and organized Receptionist. This person will be the first point of contact for visitors and callers, provide excellent customer service, support daily office operations, and coordinate tour visits of our business center. Key Responsibilities Front Desk & Customer Service Greet visitors, tenants, and guests in a professional and welcoming manner. Answer, screen, and direct incoming phone calls and emails. Provide general information about R4 Management Services LLC, amenities, and services. Maintain a clean, organized, and professional reception area. Scheduling & Tour Coordination Schedule and confirm tour visits for prospective tenants and clients. Maintain a tour calendar and follow up with potential clients after their visit. Prepare basic information packets or brochures for tours. Coordinate with management regarding availability of offices, suites, and meeting spaces. Administrative Support Assist with data entry, filing, and document organization (digital and paper). Help prepare basic correspondence, forms, and reports as needed. Receive, sort, and distribute mail and packages. Support billing or payment collection by directing clients to the correct process or staff member. Order and track office supplies and keep common areas stocked. Tenant & Office Support Assist tenants with general questions about services, conference room bookings, or building procedures. Help schedule and confirm use of meeting rooms or shared spaces. Report maintenance or facility issues to management in a timely manner. Qualifications High school diploma or equivalent required; some college or office experience preferred. .Strong customer service and communication skills (in person, phone, and email). Proficient with basic computer programs (Microsoft Office/Google Workspace, email, calendar). Strong organizational skills and attention to detail. Ability to manage multiple tasks, prioritize, and work with minimal supervision. Professional appearance and a positive, helpful attitude.
