Our team is committed to educating our clients on how to keep their pets healthy year-round with preventative care, good nutrition, and exercise. We provide routine, emergency and advanced medical and surgical care for our patients. Scope of the
Position:
We are seeking a friendly, organized, and customer-focused individual to join our team as a Veterinary Receptionist at our small animal hospital. As the first point of contact for our clients, you will play a crucial role in providing exceptional customer service and ensuring smooth operations in the front office. This position is ideal for someone who enjoys working in a fast-paced environment, has a passion for animals, and possesses excellent communication and organizational skills. We are open M-F 7:00-6:00 and every 1st, 3rd and 5th Saturday 9:00-12:00. Typical schedule for full time employees would be 38-40 hours and part time employees, with veterinary clinic experience, 20-35 hours. Without veterinary clinic experience a minimum of 30 hours would be required for part time employees. Weekend shifts and occasional kennel shifts included.
Responsibilities:
Greet clients and visitors with a warm and professional demeanor. Provide outstanding customer service by addressing client inquiries, scheduling appointments, and answering phone calls. Assist clients in completing necessary forms and obtaining medical records for their pets. Communicate effectively with clients, veterinary staff, and other team members to relay messages, appointments, and important information. Manage appointment scheduling, ensuring efficient use of staff's time and availability. Maintain accurate and up-to-date client and patient records in the practice management software system. Handle financial transactions, including processing payments and invoicing. Perform general office duties, such as filing, faxing, scanning, and managing incoming and outgoing mail. Collaborate with veterinary technicians and veterinarians to coordinate patient care and ensure smooth workflow. Assist with patient check-ins and weigh-ins. Maintain cleanliness and organization in the reception area, waiting room, and front desk area. Assist veterinary technicians and veterinarians with procedures and treatments when necessary, along with basic cleaning maintenance of the facility. Provide support in other areas of the hospital as directed by the office manager.
Key Qualifications:
High school diploma or equivalent required. Previous experience in a customer service or administrative role is highly desirable. Passion for animals and a genuine interest in their well-being. Excellent verbal and written communication skills. Strong organizational skills with attention to detail and ability to multitask. Proficient computer skills, including experience with practice management software or willingness to learn. Ability to remain calm and professional in stressful situations. Flexibility to work some evenings, weekends, and holidays as scheduled.
