We are looking for a warm, polished, and dependable Front Desk Receptionist who will serve as the first point of contact for clients across all three of our firms. Buxton Insurance Agency, LLC Insurance & Medicare Planning Tax Time Relief, LLC (Back Financial Service) Tax, Bookkeeping & Financial Services Legacy Planning Advisors, LLC Estate & Legacy Planning ❖ Key Responsibilities Greet and welcome clients and visitors for all three firms in a warm, professional manner Answer and direct incoming phone calls, taking accurate messages as needed Schedule and confirm appointments across multiple calendars Receive, sort, and distribute incoming mail, faxes, and deliveries Maintain a clean, organized, and professional front office and lobby area Assist with data entry, client intake forms, and file organization Prepare outgoing correspondence, scan documents, and manage office supplies Support team members across all three companies with administrative tasks Handle client inquiries and direct them to the appropriate team member or firm Maintain confidentiality and professionalism in all client interactions ❖ Qualifications & Skills Required High school diploma or equivalent; associate's degree a plus 1+ year of receptionist, front desk, or customer service experience Proficiency in Microsoft Office (Word, Outlook, Excel) Exceptional phone etiquette and interpersonal skills Ability to multitask across multiple companies and teams Highly organized with strong attention to detail Dependable, punctual, and team-oriented Preferred / A Plus Experience in an insurance, tax, or financial services office Familiarity with scheduling or CRM software QuickBooks or basic bookkeeping knowledge Bilingual (English/Spanish) strongly encouraged to apply Notary public commission a plus Comfortable handling sensitive financial or personal information About Our Companies Tax Time Relief, LLC / Back Financial Service is a full-service financial firm offering tax preparation, IRS representation, bookkeeping, payroll, fractional CFO services, business formations, and estate planning.
