This role is the first point of contact for customers dropping off vehicles, checking on repair status, or coordinating with insurance—so a friendly, professional presence is essential. The ideal candidate is proactive, detail-oriented, and comfortable juggling phones, paperwork, and walk-ins in a busy shop environment. Duties Greet customers warmly and professionally, whether they're dropping off a vehicle, picking up, or stopping in for an estimate Manage a multi-line phone system, directing calls and handling repair-status inquiries courteously Run the front desk: check in customers, log vehicle drop-offs, and manage incoming correspondence Perform data entry, filing, and recordkeeping using Microsoft Office, Google Workspace, and shop management software Schedule estimate and repair appointments, manage the shop calendar, and proofread documents for accuracy Assist with insurance paperwork, repair authorizations, and basic invoicing Support bookkeeping tasks using QuickBooks or similar software when needed Provide excellent customer service by answering questions, coordinating with technicians and estimators, and keeping customers updated on their repairs Requirements Prior experience in office administration, reception, or clerical work with strong organizational skills Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and solid data entry skills Experience with multi-line phone systems and professional phone etiquette Bilingual (English/Spanish) abilities highly desirable to serve our diverse customer base Knowledge of QuickBooks or bookkeeping experience is a plus Strong typing and proofreading skills with attention to detail Ability to prioritize tasks and stay organized in a fast-paced shop Prior experience in an auto body shop, repair shop, or insurance/claims setting is beneficial but not required Friendly, professional demeanor with a genuine commitment to customer service Join us in keeping our shop running smoothly and making every customer feel taken care of from the moment they walk in.
