The Receptionist (Medical Assistant) at Pediatricz Now Primary Care PLLC serves as the vital first point of contact for patients, families, and visitors, ensuring a welcoming and professional environment. This role is essential in managing multi-line phone systems efficiently, handling inquiries, scheduling appointments, and directing calls to appropriate staff members. The Receptionist supports the smooth operation of the front office by performing general administrative duties, including managing patient records, coordinating office supplies, and maintaining a clean and organized reception area. By demonstrating excellent phone etiquette and interpersonal skills, the Receptionist helps foster positive relationships and enhances patient satisfaction. Ultimately, this position contributes significantly to the overall efficiency and reputation of the pediatric care facility through attentive and effective communication and administrative support.Minimum Qualifications:
High school diploma or equivalent. Proven experience as a receptionist or in a similar administrative role. Proficiency in handling multi-line phone systems and general office equipment. Strong communication and phone etiquette skills. Basic computer skills including familiarity with scheduling software and Microsoft Office.Preferred Qualifications:
Experience working in a healthcare or pediatric office setting. Knowledge of medical terminology and patient confidentiality regulations (HIPAA). Ability to multitask efficiently in a fast-paced environment. Customer service training or certification. Bilingual abilities, especially in Spanish, to assist a diverse patient population.Responsibilities:
Answer and manage multiple phone lines promptly and professionally, directing calls as necessary. Greet patients, families, and visitors warmly and assist with check-in procedures. Schedule and confirm patient appointments using the office scheduling system. Perform general office duties such as filing, copying, faxing, and maintaining organized records. Coordinate communication between medical staff and patients to ensure smooth office operations. Maintain the reception area to ensure it is tidy and welcoming at all times. Assist with administrative tasks including data entry, handling mail, and managing office supplies.Skills:
The required skills such as managing multiple phone lines and demonstrating excellent phone etiquette are critical for handling high call volumes and ensuring callers receive accurate information promptly. Receptionist duties and general administrative skills are applied daily to maintain organized patient records, manage appointment schedules, and support office workflow.
