13131 Receptionist
Our client in Dallas, Texas is seeking a professional,anized, and customer-service-oriented Receptionist to support daily operations, who operates two affiliatedpanies. This role is essential to maintaining smooth front-office operations and supporting the estimating and accounting teams.
Key Responsibilities:
Front Desk & Office Support Answer and manage iing calls for bothpanies (two phone lines). Greet visitors and provide excellent customer service. Sort and distribute mail. File andanize documents. Monitor and manage the invoice email inbox (open, , and match invoices). Match purchase orders to invoices. Perform extensive data entry and maintain accurate records. Maintain officeanization, including: Taking out trash Keeping the kitchen tidy Ensuring the conference room is prepared for meetings Customer Service & Lead Management Assist existing customers with account lookups and system entry. Handle iing leads and quote requests. Complete intake forms and enter information into the system for estimator follow-up. Communicate job descriptions accurately to support line locate and estimating processes. Professionally handle customer inquiries, including difficult personalities. 811 Line Locate Coordination Call tickets in to 811 for all job locations. Provide required job information to dispatch. Complete and manage 811 forms ("white sheet" documentation). Obtain and attach ticket numbers to job files. Perform required updates (typically Monday and Wednesday, and on project start dates). Submit bi-weekly updates and attach new tickets as needed. Ensure all required documentation ispleted prior to job start (as provided by estimator). Training will be provided on internal systems and procedures. Administrative & Technical Skills Proficiency inMicrosoft Office:
Outlook Word Excel (data entry and spreadsheet input) PowerPoint Stronganizational and multitasking abilities. Comfortable with high-volume data entry.Qualifications:
Previous receptionist or administrative experience preferred. Customer service experience required. Construction industry experience is a plus. Bilingual skills are highly desirable. Ability to manage multiple tasks and work with various personalities in a professional manner.Schedule:
Monday - Friday, 8:00 AM - 5:00 PM 1-hour lunch break No overtime required Business casual work environmentJob Category:
