Role:
The Hedge Fund Receptionist serves as the first point of contact for clients, visitors, and employees, playing a critical role in shaping the professional image of the hedge fund. This position requires managing a highly visible, fast-paced front desk environment with efficiency and poise, ensuring all communications and inquiries are handled promptly and accurately. The receptionist will coordinate visitor access, manage incoming calls, run errands and support administrative tasks that contribute to the smooth operation of the office. Attention to detail and discretion are paramount, as the role involves handling sensitive information and interacting with high-profile clients and stakeholders. Ultimately, the Hedge Fund Receptionist helps maintain an organized, welcoming, and secure office environment that supports the firm's operational excellence and client service standards.
Minimum Qualifications:
College degree, preferably in Communications, Marketing or Finance Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Reliable car for running occasional errands.
Preferred Qualifications:
Experience working in a professional office setting. Familiarity with office management software and phone systems. Ability to handle confidential information with discretion and professionalism.
Responsibilities:
Greet and welcome clients, visitors, and employees professionally and courteously. Manage multi-line phone systems, directing calls and taking messages accurately and efficiently. Coordinate visitor access and maintain visitor logs in compliance with security protocols. Handle incoming and outgoing mail and packages, ensuring timely distribution. Support administrative tasks such as scheduling meetings, managing conference room bookings, and maintaining office and kitchen supplies. Ad hoc errands as necessary. Maintain confidentiality and exercise discretion when handling sensitive information. Collaborate with other administrative and support staff to ensure seamless office operations.
