Job Description
All Generations Health Care, Inc. is seeking someone who is looking for a long-term career. Someone who works well with a team, is motivated, and can provide excellent customer service. The Front Desk Assistant plays an essential role at All Generations Health Care by receiving all incoming phone calls, mail, packages and walk-ins, and appropriately responding to, prioritizing, forwarding, sorting and processing as necessary. The Front Desk Assistants primary goal is to aid the team by effectively communicating information and getting it to where it belongs, by greeting and informing visitors, directly helping callers or forwarding the call the appropriate team member, receiving all mail/packages/faxes and getting them to the appropriate team member and making outbound calls to clients/caregivers informing them of important notices and matters requiring their attention. The Front Desk Assistant also helps the office by preforming clerical duties, filing, scanning, and data entry. Being effective as a Front Desk Assistant enables the rest of the team to perform at their best, and as the face of the company, the Front Desk Assistant demonstrates to our Clients and Caregivers our excellent customer service and mission to go above and beyond. Outbound Phone Calls 4. Mail/Packages/Faxes 5. Clerical Duties Walk-ins All Generations Health Care has a high volume of foot traffic from Caregivers, Clients and vendors. The Front Desk Assistant will be attentive, greeting all walk-ins and always demonstrating excellent customer service. The Front Desk Assistant is expected to be knowledgeable on all basic operations of All Generations Health Care Inc., being able to answer and inform our visitors on any basic questions they may have. When our visitors have an appointment or have advanced questions, the Front Desk Assistant will communicate with the appropriate member of the team who can help the visitor, ensuring that the visitors' matters are fully addressed. Incoming Phone Calls The Front Desk Assistant will need to be able to handle a high volume of inbound phone calls. Helping callers with basic matters and forwarding advanced matters to the appropriate team member, knowing when to handle a matter directly and when to forward a call is essential. The Front Desk Assistant is expected to consult or inform team members about the nature of the call and who is calling before transferring calls, and document all calls in our database system. The Front Desk Assistant is expected to be able to place calls on hold, call back any missed calls, and respond to all voicemails. Outbound Phone Calls The Front Desk Assistant will help the team by placing phone calls to Clients and Caregivers, informing them of changes to processes/procedures, events and important reminders regarding employment, training and credentialing. Mail/Packages/Faxes The Front Desk Assistant will receive all mail, packages and faxes, processing the items as appropriate and getting them to the relevant team members. Clerical Duties The Front Desk Assistant will assist the team by filing, scanning, entering, sorting and processing physical and electronic documents.
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Schedule appointments and maintain calendars for multiple staff members
- Assist with administrative tasks such as filing, photocopying, and data entry
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain office supplies inventory and place orders as needed
- Coordinate meetings, conferences, and events including making reservations and preparing materials
- Provide general administrative support to staff members as needed
Pay:
$11.00- $14.
