In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and professional demeanor will ensure smooth daily operations, support office management tasks, and create a positive first impression for everyone who walks through our doors. This paid position offers a dynamic environment where your administrative expertise and friendly attitude will shine. Duties Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Maintain a clean and organized reception area, including filing, data entry, and document proofreading Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools Handle clerical tasks such as data entry, filing, proofing documents, and managing correspondence with accuracy Assist with office management duties including supply inventory, basic bookkeeping with QuickBooks, and supporting administrative projects Provide customer support by addressing inquiries via phone or email and ensuring excellent service standards are met Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic data entry skills Experience with multi-line phone systems and excellent phone etiquette is highly preferred Bilingual abilities are a plus to effectively communicate with diverse clients and visitors Knowledge of office management procedures such as filing systems, proofreading documents, and calendar management is desirable Experience in customer service roles or as a medical or dental receptionist is advantageous Strong time management skills combined with the ability to prioritize tasks efficiently in a fast-paced environment Join us to be part of a vibrant team where your organizational talents and friendly demeanor will make a meaningful impact every day!
