Summary/Objective This position serves as the primary front-desk representative for the corporate office, creating a welcoming and professional first impression for visitors and callers. The role also provides light administrative and clerical support to ensure smooth daily office operations, including data entry, filing, mailing, and general office coordination. Essential Functions Operates a multi-line phone system; answers, screens, and routes calls professionally. Greets, welcomes, and directs visitors; notifies appropriate personnel of arrivals. Maintains visitor logs, issues visitor badges, and follows security procedures. Responds to general inquiries in person and by phone with professionalism and courtesy. Maintains the company's fuel card program for all field locations, including card distribution, PIN set-up, usage tracking, statement reconciliation, and responding to fuel card-related inquiries or issues. Maintains an organized, safe, and clean reception area at all times. Receives, sorts, and distributes incoming mail and package deliveries. Prepares outgoing mail, mailouts, and express shipments. Assists with basic data entry, filing, copying, scanning, and document organization. Provides general clerical assistance to various departments as needed. Assists with invoice coding, expense reports, and administrative payment submissions. Maintains office, breakroom, and kitchen supplies; communicates purchasing needs to management. Supports conference room readiness, basic meeting setup, and light event assistance as needed. Serves as backup support for additional office or hospitality-related tasks. Handles confidential and sensitive information with discretion. Demonstrates consistent professionalism in demeanor, appearance, and communication. Adapts to changing priorities and supports team efforts. Performs other duties as assigned. Competencies Communication Proficiency Teamwork Orientation Detail Orientation Thoroughness Initiative Customer Service Orientation Time Management Required Education, Experience, Certifications and Licensure High school diploma or GED or equivalent combination of education and experience preferred. Minimum of 2 years of experience in a receptionist, front-desk, or administrative support role. Experience operating multi-line phone systems in a professional office environment. Valid state issued driver's license in good standing and acceptable driving record. Additional Eligibility Qualifications Knowledge of MS Office; including, but not limited to: Microsoft Word, Excel, Power Point, Access and Outlook. Excellent verbal communication skills and phone skills. Bilingual is a plus. Able to appropriately handle confidential and highly sensitive material. Organized, dependable, and self-motivated with a positive attitude. Professional appearance and interpersonal skills. Demonstrated ability to be flexible and adapt to an ever-changing work environment. Assertive and resourceful; motivated; willing to ask questions and take initiative without direction. Supervisory Responsibility This position has no direct supervisory responsibilities. Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The duties associated with this position are generally performed in an indoor office setting. Equipment used to perform the essential function of this position includes, but is not limited to computer, fax, copier, merchant terminal, multi-line phone system, personal or company owned vehicle. Employees in this role are regularly required to climb, sit, stand, bend, kneel, and frequently lift to 25 pounds. This position may also require reaching, pushing, and pulling. Employees may be exposed to chemicals and/or blood borne pathogens.
