Job Description

Overview We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations at the front desk. Your enthusiasm, organizational skills, and professional demeanor will help create a positive environment and support efficient office management. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team. Responsibilities Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed. Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette. Handle all front desk duties including checking in visitors, scheduling appointments, and maintaining visitor logs. Perform data entry tasks such as updating records in Microsoft Office applications, Google Workspace, and other office management tools. Assist with clerical duties including filing, proofreading documents, and managing correspondence to support daily office operations. Support calendar management and scheduling for staff or executives, coordinating meetings and appointments efficiently. Maintain organized office spaces by managing supplies, handling incoming mail, and ensuring the front desk area remains professional and welcoming. Qualifications Must speak and write English and Spanish language. Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Prior experience with multi-line phone systems and phone etiquette is essential. Bilingual abilities are highly valued to assist diverse client needs effectively. Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Previous experience as a receptionist or in customer support roles such as dental or medical receptionist is preferred. Knowledge of QuickBooks or bookkeeping experience is a plus but not required.
