We are seeking a dependable, organized, and highly professional Front Desk Receptionist to manage our reception area and facilitate smooth communication across the organization. Key Responsibilities Reception & Communication Management Greet arriving clients, visitors, and vendors, directing them to the appropriate person or department. Manage a multi-line phone system, routing calls accurately and taking detailed messages when necessary. Monitor and sort the central inbox, responding to general inquiries and forwarding operational emails to the correct teams. Maintain a secure front entrance by following visitor check-in protocols and logbook procedures. Administrative & Clerical Support Coordinate the daily calendar, schedule meeting rooms, and manage appointment bookings. Receive, sort, and distribute incoming mail, packages, and internal deliveries. Prepare outgoing shipments, correspondence, and basic documentation. Perform data entry tasks, file maintenance, and regular digital record updates with high accuracy. Monitor reception area inventory and place orders for office supplies to prevent shortages. Facility & Team Support Ensure the reception area, conference rooms, and main lobby remain clean, organized, and presentable. Assist management and administrative teams with overflow projects, document formatting, and preparation for meetings. Adhere strictly to company policies regarding data privacy and client confidentiality.
What We Are Looking For Professional Communication:
Clear, concise, and articulate verbal and written communication skills.
Operational Organization:
An ability to prioritize tasks effectively, manage constant interruptions, and meet daily administrative deadlines.
Dependability:
A strong commitment to punctuality, consistent attendance, and reliable performance.
Administrative Proficiency:
Competence utilizing office equipment (e.g., scanners, multi-line phones) and standard digital tools like email systems, spreadsheets, and scheduling software.
Experience:
A minimum of one year of experience in a receptionist, administrative assistant, or customer service role is preferred.
Schedule and Availability Standard Business Hours:
This is a full-time position requiring consistent hours, typically Monday through Friday.
Punctuality:
Because this role opens the reception area, arriving precisely on time is a core requirement of the position.
